businesses of all sizes become more diverse and extend their
operations to a national or global level, the more they need to
find the best solutions for communication, as fewer businesses
can afford to be flying their key executives everywhere to hold
face to face meetings. While a great deal of information these
days is shared through emails and faxes, sometimes the best way
to have interaction when people are in far-flung locations is
to hold a teleconference meeting.

gap.
Teleconference
calls are an excellent alternative for companies that need to
communicate effectively with their employees in all locations
and even with clients who are not local. The main benefit of
teleconferencing, as opposed to simply trying to communicate
though emails, faxes and voice messages, or even one-on-one
phone conversations is that a group of people can hear the same
information at the same time. This is the same primary benefit
of holding a meeting, to disseminate information to a group so
that everyone involved receives exactly the same
information.
Using a
teleconference meeting allows a group to meet without having to
be in the same physical location. This means that everyone who
needs to be informed, or who needs to participate in some type
of discussion or decision-making event, can do so from the
convenience of their own office.
Making use of
teleconference meetings gives groups a chance to virtually
assemble even if they cannot physically congregate in the same
location. In this way, everyone involved in a project can be
kept informed and can participate in any important discussions
or decisions that need to be made, all without leaving the
convenience of the office where they typically work.
When companies
hold teleconference business meetings, it allows their people
who are in different cities to hold a virtual meeting even
though each person is still at their own office location. This
can create a very effective forum that gives everyone involved
in a project or who is on a team to have input and interaction
with the rest of the group, even though they are not located in
the same office.
This can
drastically reduce travel costs for a company and it can also
help to keep valuable executives and other key employees from
becoming drained and stressed by the demands of travel. With
teleconferencing, people can have access to all of the
information they normally have in their own office, and they
simply need to dial into the teleconferencing service at the
correct time.
In addition,
meeting materials can be sent ahead physically by courier or
delivery service, or the materials can be sent digitally,
through email attachments that each participant can print out
at their end. In most cases, the teleconference is hosted by a
company that provides teleconferencing services to groups. Each
participant will need to call the phone number given by the
service and enter a special pin code in order to join the
conference call. Typically, the organizers and presenters of
such conference calls will have a special pin number that
allows them to have some additional control over the
call.
During the
teleconference call, the presenters usually have everyone
briefly introduce themselves and if needed, they can take a
roll call at the beginning to be sure that everyone who needs
to be teleconferencing with the group is present. After this
introductory period, the organizers can choose to mute all of
the callers except those who will be making a presentation.
This is very helpful for conference calls that have a large
number of people participating.
When the group
at a teleconference meeting is fairly small and when everyone
needs to be able to contribute their input and ideas, the
organizer of the teleconference call can choose not to mute any
of the callers. This allows everyone to ask questions or add
information to the discussion as needed. However, in this
instance, people on the call need to be sure they are in a
quiet environment for the duration of the call.
When the size of
the group that is participating in a teleconference business
call is limited and requires each person to speak and interact,
the person moderating the call can opt to leave the callers
with the ability to speak at any time. This gives each person
on the call the ability to speak up to contribute to the
conversation or to ask questions of the moderator or others. In
this type of situation, all people on the call must make sure
that they are calling from a very quiet environment.
If the group
that will be participating in a teleconference meeting is
rather small, then the moderator of the call can decide not to
mute any calls, so that everyone is able to speak and the
entire group can interact during the call. This makes it much
easier for the group as a whole to work through issues and come
to a consensus when needed. In order for this to work, each
person on the call must be sure that they have no background
noise going on or it will interfere with the quality of the
call.
